Begin with a responsibility
A role should describe the work to be done. Preparing a sales follow-up is clearer than a general request to increase revenue. Identify the inputs and expected output.
Add the right context
Choose the product information, policies, and customer context relevant to that role. More access is not automatically better access.
Set an approval boundary
Specify actions the worker may prepare, actions a person must approve, and situations that require escalation. Make those rules part of the workflow.
Review quality
Use examples to evaluate whether the output is useful, accurate, and appropriate. Keep a record of the changes that improve it.
